Please read these conditions carefully before completing an application.

The church wishes to make itself available to the community but it must be appreciated that there are costs which have to be met. Church premises are not available for commercial letting and the church does not seek to make a profit, but neither does it expect to subsidise the use of the amenities by non-church organisations.Details of the expected contributions to the costs can be obtained from the Parish Administrator in the Parish Office. For the use of the entire hall this is normally £25 per hour for one-off use.

Please note particularly that the space for car parking in the churchyard is very limited and is reserved for use by those with specific permission. It is essential that the User makes this known to their organisation and to the general public if invited. Adequate external access for fire and ambulance services and/or escape routes in the event of an emergency are essential.


BOOKING: All booking applications must be in writing on the booking form provided.The person signing this form will be considered the User. Where an organisation is named in the application the organisation will also be considered the User and shall be jointly and severally liable with the person who signs this form. Where the booking is weekly the church must be informed whenever use is not required.

ACCESS: Unless otherwise arranged the premises will be unlocked by church personnel before the use and be locked by them at the end of the use. An additional cost will apply if the use ends after the time stated on the booking form.

DEPOSIT AND PAYMENT: The User may be asked to pay a non-returnable deposit at the time of booking as advised. The balance of the costs must be paid before the date of the use or as otherwise agreed with the Parish Administrator. Payments made electronically are welcomed and you can email the Church Treasurer to obtain the account details.

INDEMNITY: The User shall indemnify and keep indemnified the PCC of St Peter and Paul Fareham against (a) the cost of repair of any damage done to any part of the premises including the curtilage thereof or the contents of the premises (b) all claims, losses, damages and costs in respect of damage or loss of property or injury to persons arising as a result of the use of the premises and (c) all claims, losses, damages and costs suffered or incurred as a result of any nuisance caused to a third party as a result of the use of the premises by the User.

INSURANCE:. The User shall take out adequate insurance to insure them, the Organisation and invitees against their liability under the Indemnity clause above and all claims arising as a result of the use and on demand shall produce the policy and current receipt or other evidence of cover to the Parish Administrator. The User acknowledges that the loss of any items left unattended is not covered by Ss Peter and Paul Fareham PCC insurance cover

SUPERVISION AND RESPONSIBILITY: The agreement constitutes permission only to use the premises and confers no tenancy or other right of occupation on the User. The User will during the period of the use be responsible for supervision of the premises, the fabric and the contents, their care, safety from damage however slight and the behaviour of all persons using the premises whatever their capacity.

COMPLETION OF HIRE: At the end of use the User shall be responsible for leaving the premises and surrounds in a clean and tidy condition as before use and any contents temporarily removed from their usual positions properly replaced. Should this not be complied with Ss Peter and Paul Fareham PCC reserves the right to recover a sum to cover the additional work required by the church from the User.

CHILD AND VULNERABLE ADULT PROTECTION: In the event that the use involves the attendance of children and young persons under the age of 18 at the premises, the User confirms that there will be in place an appropriate Child Protection Procedure which fully meets statutory requirements. The User agrees to ensure that adults present on the premises are aware of this Procedure and abide by it. Users are responsible for the observance of the law regarding child protection and vulnerable adults.Those adults having continuing and close contact with children or vulnerable adults should have undergone a DBS (Disclosure and Barring Service).

HEALTH AND SAFETY: The Ss Peter and Paul Fareham PCC and the Users are both bound by various Health and Safety regulations and notifications made under those regulations. There are strict legal requirements governing the use of buildings to which the public may be invited. Users must make their own enquiries as to how these can be met and carry out necessary risk assessments. The Ss Peter and St Paul Fareham PCC cannot accept any responsibility for Users who fail to meet their obligations in this respect. Because of Health and Safety requirements there are conditions which have to be imposed and it is the responsibility of Users to ensure that all concerned understand and comply with them and to see that all other safety regulations are met. Some functions may require a One Day Public Entertainments or other temporary licence. Fareham Borough Council can advise about these matters.

CLEARWAYS: It is the responsibility of users to ensure that clear access is kept to all internal and external doorways and emergency exits.

PARKING: The hire of the premises does not include the use of parking facilities except where parking for specific cars is agreed in advance with the Parish Administrator. Adequate external access for fire and ambulance services and/or escape routes in the event of an emergency are essential. Ss Peter and Paul Fareham PCC reserve the right to ask for any cars related to this use to be removed or prevented from parking on site. Parking in neighbouring Council car parks is free after 6pm.

EXCLUDED USES: The User shall not use the premises for any purposes other than that described in the Use Agreement and shall not sub-hire or use the premises or allow the premises to be used for any unlawful purpose or in any unlawful way, nor do anything to bring on to the premises anything which may endanger the premises or any insurance policies connected with the premises. No animals (including birds) except guide dogs may be brought into the premises. No animals whatsoever are to enter the kitchen at any time.

ALCOHOL: These are not licensed premises and no alcohol can be sold thereon without a licence from the local authority and the consent of the Ss Peter and Paul Fareham PCC.

SMOKING: The entire premises are No Smoking.

MUSIC: The User undertakes to satisfy any requirements under performing rights for the performing or playing of live or recorded music. Any User who intends to play music or have live music agrees to inform Ss Peter and Paul Fareham PCC in writing at the time of booking. The User undertakes to ensure that all noise is kept to a level such that neighbours of the church premises are not unduly disturbed. The User agrees in any event to terminate all loud noise on the premises at 10.00pm.

PUBLIC SAFETY:The User shall comply with all conditions and regulations made in respect of the premises by any official body including the Government, Fire Authority, Local Authority and Courts.

EMERGENCIES: In the event of an emergency it is the responsibility of the User to ensure that he/she knows the location of first aid kits, the nearest hospital and the like, and also to contact the emergency services if necessary.� There is a defibrillator located on the south side of the church close to the main church entrance - however, the emergency services must be contacted to obtain the access code.

FURNITURE AND FITTINGS: The User shall not interfere in any way with the electricity or gas fittings, meter fittings or fixtures on the premises. The Church is primarily a place of worship and the furnishings of the Sanctuary, in particular, may not be removed without the prior permission of the Ss Peter and Paul Fareham PCC.

ELECTRICAL EQUIPMENT: It is the responsibility of the User to ensure that the electricity supply is appropriate for any equipment used and that any equipment used will not endanger, overload or damage the electricity supply, circuits, wiring, plugs, sockets or other equipment. In order to achieve this it is the responsibility of the User to ensure that any electrical equipment used is installed and operated by competent personnel so as to be free from fire-risk or danger to the public.

SALE OF GOODS: The User shall, if selling goods on the premises, comply with Fair Trading Laws and any code of practice used in connection with such sales. In particular, the User shall ensure that the prices of all goods and services are prominently displayed, as shall be the organiser's name.

USE OF KITCHEN: Any use of the kitchen must comply with all applicable hygiene and safety regulations and the kitchen must be left in the way it was found and consumables in the kitchen (e.g. tea, coffee, biscuits, milk etc) must not be used by the User.

CANCELLATION/TERMINATION: Ss Peter and Paul Fareham PCC reserves the right to cancel this use in the exceptional event of the premises being required for emergency purposes, such as use by the local authority, being unfit for use or for other good reason - in which case the User shall be entitled to a refund of any payment already made. Even if the User has a regular booking for the hire of the premises Ss Peter and Paul Fareham PCC reserves the right to vary or cancel any such regular arrangements. This right will not be unreasonably enforced.

CONSEQUENTIAL LOSS: In the event of the premises or any part thereof being rendered unfit for the use for which it has been booked or cancellation for any other reason Ss Peter and Paul Fareham PCC shall not be liable to the User for any resulting loss or damage whatsoever.

ACCESS: The User shall allow any duly authorised officer of Ss Peter and Paul Fareham PCC access to the premises or any part thereof at all times during the use.

PCC OFFICER ACCESS: The User shall allow any duly authorised officer of Ss Peter and Paul Fareham PCC access to the premises or any part thereof at all times during the use.

VARIATION OF PAYMENT REQUIRED: For regular bookings at least 3 months notice will be given by the Church if the payment for use is to be changed.
